What are the main phases of PD development in USA Class?
The four main phases are Position Details, Major Duties, Factor Levels, and PD Builder. Each request displays its current phase on the main screen.
Can I start a request from scratch or use an existing PD?
Yes. Users can upload an existing PD to use exactly as written or as a reference, or start from scratch by answering the required prompts in the Position Details workflow.
Does the system read my organizational chart or supporting files?
No. Organizational charts and supporting files uploaded to the system are transferred as attachments only and are not read by the AI for PD development. AI-generated content should be reviewed against required and supplementary supporting materials.
Can I edit AI-generated content?
Yes. Users can edit AI-generated duty titles, definitions, statements, and percentages. Users can also add their own content and regenerate suggestions in the Major Duties workflow.
What should I do if the AI suggestions are incomplete or inaccurate?
Review and revise the suggested content, remove items that do not fit the position, add your own duty categories or statements, or regenerate suggestions. AI output should always be treated as a starting point for user review.
Can I export content from USA Class?
Yes. During the workflow, users can copy content to the clipboard or export content in Microsoft Word format where that option is available.
When I create a PD in USA Class, does it populate in the USA Staffing PD library?
USA Class does not populate a completed PD in the USA Staffing PD library. This is a consideration for future development. Currently, users will be able to export their drafted PDs as Word documents and upload them to the USA Staffing PD as needed.
Does any data from USA Class flow back to USA Staffing?
USA Class does not transfer data to the USA Staffing classification module. This is a consideration for future development.
Do I have to use everything the AI generates?
No. Users are expected to refine the output and keep only the content that is accurate and appropriate for the position.
Does USA Class send notifications when work is submitted or returned?
Currently, USA Class does not include built-in system notifications. Users may need to separately notify the next reviewer or collaborator that action is needed.
What happens if my request is returned for revision?
If a request is returned, the user should review the feedback, update the request, and resubmit it when ready.
What happens after a PD is built?
After a PD is built, the agency completes any required internal review and approval steps and maintains the official position description through its normal HR processes.
Can USA Class pass completed PD data into other systems?
This is not currently supported but is being considered as a future functionality.
When should I use “exactly as written” versus “use as a reference” when uploading an existing PD?
- Use exactly as written when the existing PD is current and well structured, with identifiable major-duty titles, statements, and percentages that you want brought into USA Class with minimal change.
- Use as a reference when the PD is older, incomplete, or needs significant restructuring. In that option, USA Class uses the uploaded content to inform newly generated major duties rather than reproducing the language exactly.
Can I use more than one existing PD to develop a new PD?
USA Class currently accepts one source PD for AI-assisted major-duty generation. When relevant content comes from multiple PDs, users may combine the pertinent duty information into a single working document and upload that document using the use as a reference option. Users should review the combined content carefully and include only duties that are actually assigned to the position being developed.
Does USA Class keep completed PD requests, and is it the agency’s official PD repository?
Completed requests remain in USA Class unless they are deleted. However, USA Class is not currently the official USA Staffing PD library or an agency records-management system. Agencies must complete their normal review, approval, evaluation, records, and repository processes outside USA Class. Deleted requests remain in the Recycle Bin for up to 90 days.
Can USA Class be used for testing or a limited pilot?
Yes. USA Class does not have a separate test or sandbox environment, but agencies may conduct a limited pilot in the production environment by controlling distribution of the invitation link, approving only selected users, and creating test requests. Test requests may be deleted and remain recoverable in the Recycle Bin for up to 90 days.
